šŸš€ The Notion Squad #003: This Is How I Never Get To Miss Deadlines

The magic of using David Allen’s GTD

Welcome to this week’s issue of The Notion Squad!

Do you ever feel like you're constantly running behind? Like there's never enough time in the day to get everything done? If so, you're not alone. Many people struggle with productivity and time management.

But what if there was a way to never miss a deadline again? What if you could finally get everything done that you set out to do?

That's where GTD comes in. GTD stands for Getting Things Done. It's a productivity system proposed by David Allen, a world-renowned, best-selling author of the book of the same name, that can help you to get more done in less time.

I've been using GTD for over a year now, and it's completely transformed my productivity. I used to be the type of person who would constantly forget things, and I would always be rushing to meet deadlines. But now, I'm always on top of my work and never have to worry about missing a deadline.

If you're ready to take your productivity to the next level, then I encourage you to give GTD a try.

But you might be asking, ā€œHow the hell does GTD works?ā€

Well, GTD is a four-step process that you must follow to properly accomplish a task or project.

  1. Capture: Collect all of your tasks and ideas in one place. This can be done in a notebook, a to-do list app, or even a simple text file. The basic concept of this step is done using an inbox. An inbox is a place where all your ideas and tasks are put, free from classifications or categories. This is where you start.

  2. Clarify: Once you've captured all of your tasks, take some time to clarify them. What I mean by clarifying is thinking two steps further into each task. You can ask yourself the following questions:

    • Is this worth doing?

    • What will this task enable me to do?

    • Is this task achievable?

    • Can I complete this task within the day? or within the week?

  3. Organize: Once you've clarified your tasks, it's time to organize them. One thing which greatly works for me is by filtering and grouping all my tasks based on their: (first one takes priority)

    1. Priority Level

    2. Status

    3. Start Date

    4. Due Date

    5. Area

    6. Goal

    7. Project

  4. Review: Regularly review your tasks and projects to make sure they are on track. This will help you to stay on top of your work and avoid missing deadlines. Many people miss this step as they are always lazy to track every single detail of each task. One tip to achieve this step is to have an exact regular time to consistently review your ongoing projects and active tasks.

These four steps may look easy on the surface, but not until you perform them each day will you experience the difficulty of maintaining this system. However, this might sound clichĆ© but ā€œNo pain, No gain,ā€ right?

To properly implement GTD in your workflow, here are some tips for you:

  • Be consistent. The key to success with GTD is to be consistent with the four steps. If you only do one step, you won't get the full benefits of GTD.

  • Don't be afraid to experiment. There is no one right way to implement GTD. Find a system that works for you and stick with it.

  • Don't be afraid to ask for help. If you're struggling with GTD, there are plenty of resources available to help you. There are books, articles, and even online courses that can teach you how to use GTD.
